Church groups are some of our most frequent renters — youth retreats, mission trips, choir tours, senior outings, Sunday school field trips. The planning questions are always the same: what size van, who can drive, what does it cost the group budget, and how far ahead do we need to book. This guide answers all four, Chicago-specifically.
Size the van to the group, not the wish list
The most common mistake is renting too big "just in case." A 10-passenger van is the sweet spot for most church groups:
- Up to 10 people: one 10-passenger van. Everyone rides together, luggage fits behind the last row.
- 11–12 people: resist the urge to squeeze into a 12-passenger van — the last row eats the cargo space and luggage ends up on laps. A 10-passenger van plus one car is usually more comfortable.
- 13–15 people: two 10-passenger vans beat one 15-passenger van on comfort and luggage room, and the cost is often comparable. See our size comparison.
Count bags, not just people. A youth retreat means duffels, sleeping bags, coolers, and instruments — a group of eight with retreat gear fills a van faster than a group of ten traveling light.
The driver question (read this before you assign anyone)
The driver must be 25 or older with a valid standard license — no exceptions, no workarounds. For church groups this is the planning constraint that matters most, because the natural driver (a 22-year-old youth leader) often does not qualify.
Practical approach:
- Identify your 25+ drivers first, before you book anything. You need at least one; for long trips, two is much better.
- Every driver goes on the agreement with the same requirements: 25+, valid license, present at pickup with their license in hand.
- No CDL needed. A standard license covers our 10-passenger vans — the van drives like a large SUV.
- Talk to us about second drivers when you book, not at pickup. It takes a minute to arrange and avoids a delay with the group waiting.
Budgeting it for a nonprofit
Church budgets are real budgets, and the flat pricing helps: $110/day, no weekend surcharge, no seasonal spike. The per-person math is what sells it to the committee:
- A weekend retreat (Fri–Sun): $330 ÷ 10 people = $33 per person for the whole weekend's transportation.
- A week-long mission trip: $770 ÷ 10 = $77 per person for the week.
The $500 deposit is a refundable hold, not a cost — but it does need to sit on someone's card. For church groups, this usually means the church credit card or the trip leader's card, reimbursed after the hold releases. Plan for it in the trip budget so nobody is surprised.

Retreats and road trips from Chicago
The classic Chicago church-group routes:
- Wisconsin Dells (~3.5 hours) — youth retreats, with luggage for a long weekend.
- Lake Geneva, WI (~1.5 hours) — day trips and overnights.
- Camp grounds across northern Illinois and southern Wisconsin — the van handles the gear that a car caravan cannot.
One van means one departure time, one arrival, and no caravan getting split on I-90. The trip leader rides up front with the roster instead of driving while trying to coordinate three cars by phone.
Booking timeline
- Summer weekends and holiday weekends: book 3–4 weeks out. June–August is peak season and the first weekends to sell out.
- Regular weekends: 1–2 weeks is usually fine.
